2. General information

This is a static website. The home page embeds a YouTube video using privacy-enhanced mode. The website does not use external fonts or analytics tools.

3. Server log files

When this website is accessed, the hosting provider may process technical access data such as the IP address, time of access, browser type and requested file. The legal basis is Article 6(1)(f) GDPR.

4. YouTube video and external links

When the home page is opened, a video is loaded from youtube-nocookie.com. Technical data such as your IP address and browser information may be transmitted to Google or YouTube. For other external platforms, data is transferred only after you click the relevant link.

5. Cookies and tracking

RoadBoard uses only technically necessary session cookies for the protected beta download, passwordless beta access and administration area. They are secured with Secure, HttpOnly and SameSite=Strict and expire no later than the end of the relevant session. RoadBoard does not use its own tracking elsewhere in the publicly accessible area. Depending on the browser and usage, YouTube may use its own storage technologies.

6. Applications

For a translator application, the Discord name, age, listed language skills and confirmation of joining Discord are sent to the RoadBoard web server. These details and the time of acknowledging the privacy information are stored in a MySQL database and used only to select and contact translators. For beta applications, the email address and the information requested there may additionally be processed; the email address is confirmed through a time-limited one-time link. To limit abuse, IP identifiers are processed only as secret-bound hashes that cannot be read directly. Application data is kept only as long as needed for selection and participation.

7. Beta access and licensing

Accepted testers can use a short-lived one-time link to request a personal licence key at their verified email address. The plaintext key is not stored in the database; only an HMAC verification value is retained. RoadBoard Beta also processes a randomly generated pseudonymous device ID, the licence status, activation time, expiry time and the time of the latest licence check. The device ID is used only to bind a personal 24-hour licence key to one Windows PC. Activation attempts use a secret-bound, non-readable IP identifier to limit abuse. Licence records are anonymised no later than 30 days after expiry or revocation. Activation data stored by the application is protected with Windows DPAPI.
